Three ways a year of receipts falls apart

  • The paper stops being readable

    Thermal receipts fade, often well inside the period you are meant to keep records for. A blank strip of paper proves nothing.

  • The number and the evidence separate

    The amount ends up in a spreadsheet and the receipt in a drawer. Neither is much use without the other when a claim is questioned.

  • Nobody notices the gaps until October

    A work expense from March with no receipt is fixable in March and awkward in October. Most systems only tell you at the end.

What your accountant actually receives

A PDF summary they can read in a minute, a CSV they can work with, and a folder of receipt images that match the rows. No app to install, no account to create, no invitation to accept.

That matters more than it sounds. Sending an agent a login to a service you use is a favour to the service, not to them. A file they can open is the format every agent already works in.

If you lodge through myTax yourself, the same export gives you the totals to enter and the evidence to keep behind them.

Keeping records for the long run

Records are generally kept for five years from when you lodge. That is longer than most phones last, so the backup question is worth a minute of thought.

  • Records and receipt images live in an encrypted database on the iPhone.
  • A full backup archive can be exported with the records and the images inside it.
  • You choose where the backup goes: the Files app, your own iCloud Drive, a computer.
  • The Tax Pack for a financial year can be exported again at any time.
  • HeyJerni holds no copy of any of it, which also means it cannot restore anything for you.

How long should I keep tax receipts in Australia?

Generally five years from the date you lodge, though your situation can change that. Check the current ATO record-keeping guidance or ask a registered tax agent.

Is a photo of a receipt enough?

A digital copy is accepted as a record when it is a true and clear reproduction of the original. Photographing thermal receipts early is usually safer than keeping the paper.

What is in the Tax Pack export?

A PDF summary for the financial year, a CSV of every expense including its purpose and work-use percentage, and the original receipt images.

Can my accountant get access to the app?

There is no shared access, because there is no account. You export the pack and send it to them, which is the format they already work with.

What happens to my records if I stop using the app?

Export a backup archive and the records and images are yours in a file. Nothing is held on a server that could be switched off.

Does this replace an accountant?

No. It keeps the records an accountant or myTax needs. Deciding what is deductible is a job for a registered tax agent and the ATO rules that apply to you.
