Receipts that survive to tax time

A Receipt Scanner for Australian Tax Records

A receipt only does its job if you can still read it when someone asks. Thermal paper cannot manage that, and a photo buried in your camera roll is not a record either. HeyJerni photographs the receipt, reads the supplier, amount and date off it with on-device AI, and keeps the original image attached to the expense for as long as you keep the record.

Free on the App Store. Scanning runs on the phone, so it works with no signal.

What a receipt has to show

For a work-related expense, the ATO expects a record that shows the supplier, the amount, what you bought, and the date. A photo of the receipt is accepted as a record, as long as it is a true and clear reproduction. The paper original is not the point; the readable evidence is.

That is why scanning beats a shoebox rather than merely being tidier. The docket that faded to blank in the ute over summer used to be a record and is now a blank strip of paper. The photo taken the day you bought the thing is still readable in five years.

It is also why a bank statement on its own is a weak substitute. It shows that money left your account and where it went, but not what you bought or how much of it was for work.

From paper to record in about ten seconds

  1. 1

Photograph it, or a whole stack

One receipt at the counter, or a pile of them at the end of the week. Multi-receipt scanning reads each page separately rather than making you shoot them one by one.

  2. 2

    On-device AI reads it

The merchant, the amount and the date are pulled off the image by an AI model running on the phone. No upload, no queue, no waiting on a server.

  3. 3

    You confirm before it saves

The extracted fields are shown for review. Fix anything the scan misread, set the category and the purpose, and save. Faded or crumpled receipts are exactly where a human glance is worth having.

  4. 4

    The image stays attached

The original photo lives with the expense record, so the number and the evidence never get separated. You can attach more than one image to a record when the receipt runs to two pages.

The Australian details that matter

The habits that make a pile of scanned receipts hold up at the end of the year.

  • Records are generally kept for five years from when you lodge, which is far longer than thermal paper lasts.
  • A digital copy is fine if it is a clear reproduction of the original.
  • Work-related expenses need the work-use share recorded, not just the total spent.
  • Receipts and the expense record belong together, so the evidence is findable when the number is questioned.
  • A financial-year export at 30 June is easier than a reconstruction in October.

HeyJerni organises records. Whether an expense is deductible, and which record-keeping rules apply to you, depends on your circumstances and current ATO rules.

Where the receipts usually go missing

  • The fade

Thermal dockets from petrol stations and hardware stores commonly go blank inside a year in a hot car. Photograph them the same day and the fade stops mattering.

  • The camera roll

A photo among four thousand holiday pictures is not a record you will find in July. Scanning turns it into a searchable expense with a merchant and an amount.

  • The email inbox

Digital receipts scatter across accounts. Save one as an image and scan it from your photo library so it sits with everything else.

Then check the year before you lodge

Scanning is only half of it. What actually costs people money is finding out in October that a work expense from March never got a receipt attached.

Record Check reads the financial year and tells you what still needs a receipt or a category, while there is still time to go and find it.

Frequently asked questions

Does the ATO accept a photo of a receipt?

A digital copy is accepted as a record when it is a true and clear reproduction of the original. That is why a same-day photo is stronger evidence than a faded original. Check the current ATO record-keeping guidance for your situation.

How long do I need to keep receipts?

Records are generally kept for five years from the date you lodge. HeyJerni keeps images on the phone and exports them with the financial-year pack, and you can also export a full backup archive to store wherever you like.

Are my receipts uploaded anywhere?

No. The AI model runs on the iPhone. Images and records are stored in an encrypted database on the device, and HeyJerni has no server that receives them.

Can it read a faded or crumpled receipt?

Often, but not always. That is why every scan is shown for review before saving, so you can correct anything misread instead of trusting it blindly.

Can I scan a stack at once?

Yes. Multi-receipt scanning handles a batch and creates a separate record for each one, which suits a weekly catch-up better than scanning at the counter.

What about receipts under $10, or a year under $300?

There are ATO thresholds where written evidence rules differ, and they have conditions attached. Keeping the receipt anyway costs you nothing and removes the question entirely.
