For nurses, midwives and carers

Expense records for nurses, kept between handovers

Registration renews once a year. CPD is spread across twelve months. Scrubs, shoes, a fob watch, a stethoscope, the penlight you replaced in March. None of it arrives together, and by July most of it has been forgotten. HeyJerni records each one as it happens, keeps the receipt attached, and hands your accountant a complete financial year.

Where nurses lose records

  • Annual costs are the easiest to forget. Registration and professional memberships come around once a year, which is exactly the interval nobody builds a habit for.
  • CPD is spread thin. A course here, a conference there, a textbook, the travel to get to it. Each too small to remember on its own.
  • Small equipment gets replaced quietly. A fob watch, scissors, a penlight, a new pair of shoes for the ward. Bought with whatever card was in the bag.
  • Shift work does not leave an admin hour. The paperwork window is the drive home or nothing, and nothing usually wins.

How HeyJerni fits shift work

  1. 1

Photograph it before the shift starts

Scan the receipt in the car park in a few seconds. On-device AI reads the supplier, amount and date, so nothing has to be typed with gloves on.

  2. 2

Let the tap-to-pay purchases log themselves

One Shortcuts automation, and every Apple Pay purchase records itself with the merchant and amount. The pharmacy run and the parking stop escaping.

  3. 3

Mark work use once per supplier

Set the purpose and, for anything mixed such as your phone, a work-use percentage. HeyJerni remembers the supplier for next time.

  4. 4

Check the year before you lodge

One screen lists what still needs a receipt or a category across 1 July to 30 June, in time to go and find it.

Costs nurses commonly keep records for

Common work-related expenses for nurses and midwives, drawn from the ATO occupation guides. Each one needs a record. Whether a given expense is deductible for you depends on your role and how the item is used; check the ATO guide for your occupation or ask a registered tax agent.

  • Annual registration and professional association or union fees
  • Continuing professional development: courses, conferences and journals related to your current role
  • Compulsory uniforms and protective clothing, and laundering them
  • Non-slip shoes and other required protective footwear
  • Equipment you buy yourself: fob watch, stethoscope, scissors, penlight
  • Phone and internet, the work-use share
  • Travel between workplaces on the same day, not the commute from home
  • Agency and placement costs where you pay them yourself

HeyJerni is a record-keeping tool, not tax advice.

Two minutes on a day off

  1. 1Open Records and tap Unreviewed.
  2. 2Confirm the category and work use on the week's purchases. Repeat suppliers take one tap.
  3. 3Scan anything still in the bag or the car.
  4. 4At 30 June, run Record Check and export the pack for your accountant.

What HeyJerni does not do

  • Car logbooks or cents-per-kilometre claims. Use the ATO app or a logbook for car claims.
  • Income, payslips or salary packaging. HeyJerni is the expense side only.
  • Deciding what is deductible. It keeps records; the ATO guides and your tax agent decide the rest.
  • Bank linking. By design; records stay on the phone.

Frequently asked questions

Is HeyJerni free for nurses?

Yes. The whole app is free with a small banner ad, and a one-time purchase removes the ad. There is no subscription and no per-user pricing.

Can I record my registration and CPD in it?

Yes. They are expenses like any other: supplier, amount, date, and the invoice attached. Annual costs are exactly the ones worth recording the day they are paid.

What about laundry of uniforms?

HeyJerni records the expenses you actually pay for. Laundry claims often use a rate rather than receipts, and which method applies to you is a question for the ATO guidance or your tax agent.

Does it work in a hospital with no reception?

Yes. The AI model runs on the phone, so scanning, categories and questions all work with no signal.

I work for an agency across several sites. Does that matter?

Not to the records. Each expense carries its own purpose and receipt regardless of who you worked for that day. There is no per-employer field, so add a note if you want to track it.

Is this tax advice?

No. It is a record-keeping tool. What you can claim depends on your circumstances; the ATO nurses and midwives guide and a registered tax agent are the sources.
